Notes to Role Takers

President/Chair
– Before the meeting: Agenda adjustment with VPE and Secretary, networking, tech issues support. (10 minutes min.)
– At the start of the meeting: Introduce guests and the Toastmaster of the Day.
– At the end of the meeting:          
          – Thank guests for attending;
          – Ask for their comments and invite them to join;
          – Announce the next meeting and business.

Sergeant at Arms
– Before the meeting: Prepare the meeting room, adjust breakout room and poll settings, networking (10 minutes min.)
– At the start of the meeting: Welcome attendees, announce online meeting etiquette and disclaimer (mtg will be recorded and shared among members only), hand the meeting over to the President/Chair, and ask Zoom Master/Chairperson to start recording (1 minute)
– During the meeting: Facilitate the meeting procedures and aid Zoom Master.
– At the end of the meeting: Show the certificates with VPE or the President/Chair.

Toastmaster  of  the Day
At the start of the meeting: Provide a 1-2 minute inspirational speech and introduce the meeting theme. Ask Zoom-master, Timer, and Grammarian and Ah-Counter to explain their roles. 
– During the meeting: Transition each section. In the Prepared Speech section, ask the Evaluators to announce the speakers’ speech titles and objectives before their speeches. In the Table Topics section, introduce the Topics Master. In the Evaluation section, introduce the General Evaluator. After each section, call all attendees to vote for the Best Speaker, the Best Table Topics Speaker, and the Best Evaluator.
– At the end of the meeting: Offer a 1-2 minute closing remark and hand it over to the President/Chair.

Audio,  Video  &  Body  Language  Monitor
– At the start of the meeting: Explain your role when called by the Toastmaster of the Day. (1 minute)
– During the meeting: Spotlight the Timer for a few seconds when s/he signals time. Mute anyone not speaking (Tip: Use gallery view). Record and stop recording the meeting upon request by the President/SAA. Do polls upon request. Observe each speaker while s/he is speaking in terms of body language.
– At the end of the meeting: Report on your observations of everyone’s body language and offer suggestions if applicable.

Body Language Monitor
– At the start of the meeting: Explain your role when called by the Toastmaster of the Day. (1 minute) 
– During the meeting:  Note everyone’s use of body language in ALL segments of the meeting. 
– At the end of the meeting: Condense your findings in a two to three minute report.

Chat Monitor
The chat monitor is responsible for moderating Zoom’s chat box during the meeting. He or she needs to make sure that the right message goes to the right person at the right time. Perfect role to take if you think you’re yet too shy to speak and have attention/responsibility deficit. 😉

Timer
– At the start of the meeting:  Explain your role when called by the Toastmaster of the Day. (1 minute)
– During the meeting: Keep a time-log and indicate the time for each prepared speaker, Table Topic speaker, and evaluator. 
– At the end of the meeting: Report the results.

Grammarian
– At the start of the meeting:  Explain your role and introduce the Word of the Day in both oral and written forms when called by the Toastmaster of the Day. (1-2 minutes)
– During the meeting: Count the usage of the WoD. Note unique/colorful expressions and good English usage in speeches. 
– At the end of the meeting: Give a 1-2 minute report of your findings.

Ah-counter
– At the start of the meeting: Explain your role when called by the Toastmaster of the Day. (1 minute)
– During the meeting: Count repetitions crutch and filler words like ah, um, like, and so in prepared speeches, Table Topics speeches, and evaluations.
– At the end of the meeting: Report your findings and announce the King/Queen of Ah (1-2 minutes).

Topics Master
– During the meeting: Conduct the Impromptu Speaking Session. Call upon members/guests to deliver a 1-2 minute talk on a topic. Check time with Toastmaster of the Day after 3 speakers.

General Evaluator
Run the Evaluation and Reporting session at the end of the meeting. 
– Call for each evaluator;
– Call for Timer’s Report;
– Call for Grammarian’s, Ah-Counter’s and Body Language Monitor’s Reports;
– Give a comprehensive evaluation of the entire meeting and the Table Topics section in particular (5-10 minutes). 
If the time is pressed, mention a few highlights and later email a more detailed written evaluation.

– Introduce the speaker’s speech title and objectives when called by the Toastmaster of the Day before the speech (1 minute);
– Evaluate his/her speech in the Evaluation section (2-3 minutes) when called upon by the General Evaluator.

We have three speakers in the meeting to give a prepared speech from one of the many Toastmasters manuals.
